Maximize Your Tax Return: Essential Documents for Your ‘Declaracion de Renta’ Appointment – 8 Must-Know Sections

You've booked your Declaracion de Renta appointment and now you want to know what you need to bring to make the process as smooth as possible - we've got you covered.

The Declaracion de Renta, your annual personal tax return, is due by the 30th of June each year, covering the previous tax year.

Depending on your individual situation, there are various documents and pieces of information you can prepare in advance to make the appointment go even more smoothly.

Personal info

  • Your original DNI/NIE and a photocopy of the DNI/NIE of anyone else appearing in your tax return.
  • IBAN for your bank account.
  • An authorisation letter signed by any other taxpayers you’re filing for and a photocopy of their ID cards.

Property details

  • Land registry reference number for any or all properties owned, renting or otherwise occupied (this will be on your IBI property tax receipt).
  • If you live in a rented property we’ll need the NIF (Personal Tax ID) of the landlord and the amounts you’ve paid for the rent.

Professional Earnings

  • Certificate issued by the payer/ your employer.
  • If you’ve been dismissed or made redundant, we’ll need the amount of the compensation paid, date of agreement of the dismissal, layoff, approval of the workforce adjustment plan or opening of the consultation period to the employment authority in the event of a large-scale lay-off.

Earnings from real estate property

This includes rental income from flats, premises, parking spaces, etc.
  • Income list and receipts (contracts etc.)
  • Deductible costs (invoices, etc.).
  • Remember that you must provide the tax code of your tenant.

Investment income

If you have investments we’ll need:

  • Certificates from companies, financial institutions and insurance companies
  • Contracts
  • Bills of expenses, etc.

Earnings from economic activities in objective evaluation (modules)

  • Supporting documents of the activity elements or parameters used during the year.
  • These are based on the activity, for example, employed staff, electricity consumption, the surface area of the premises, power rating of the vehicle, income, capital goods books, etc.

Capital gains and losses

If you sold your primary residence we’ll need:

  • Deeds of purchase and sale.
  • Acquisition and transfer dates.
  • Actual amounts, purchase and sale expenses and tax contributions.
  • Tax returns in which deductions were applied for the transmitted property.
  • Details of mortgage loans and the outstanding capital to be amortised upon the sale.

For sales of shares, properties or other goods, investment funds, prizes, etc. we’ll need:

  • Deeds and/or supporting documentation.
  • Acquisition and transfer dates.
  • Actual amounts, purchase and sale expenses and tax contributions.
  • Certificates of investment funds.

For subsidies received, well need:

  • proof of the subsidies


If you’ve received any refund of interest earned on the floor clause, we’ll need:

  • The financial institution’s certificate stating the years corresponding to which the surplus interest was charged on overturned floor clauses.
  • Tax returns for non-prescribed years in which habitual residence deductions were carried out or were included in the deductible expenses on earnings from economic activities or capital assets.

Other documents required for the Declaracion de Renta

If any of the below apply to you, bring the supporting documents along with you.

  • For the acquisition of a primary residence with an extension of a loan, we’ll need balances of the original loan pending amortisation.
  • With a mortgage, bring insurance receipts.
  • For donations to charities etc we’ll need receipts.
  • If you have any Pension Plans, bring the details of payments made and the plan.
  • If you pay childcare costs for children under 3 years of age, bring invoices.
  • Other tax-deductible expenses, including healthcare and optician costs as long as they were paid for using a card and you have the full invoices.
